3 ways to see how KSeF works

The obligation to use the National e-Invoice System will come into force on July 1, 2024. The Ministry of Finance has provided free tools for entrepreneurs to learn the rules of the new system, preparing their companies for the need to issue structured invoices.

The obligation to use the National e-Invoice System will come into force on July 1, 2024. The Ministry of Finance has provided free tools for entrepreneurs to learn the rules of the new system, preparing their companies for the need to issue structured invoices.   

KSeF will radically change the existing way of invoicing. Preparations for the coming revolution are to be facilitated by three versions of the system, which can be used now.  

KSeF production version

Voluntary use of KSeF in a production environment is possible as of January 1, 2022. Access to the system requires the possession of the prescribed authorizations and the use of credentials in accordance with the registry of information on business owners. Importantly, any invoice uploaded to KSeF using the production environment goes into legal circulation. To avoid exposing yourself to the consequences of incorrect or incomplete data required by the system, it is advisable to use the pre-production or test version of KSeF. The documents issued in them have no legal consequences and are automatically deleted after a certain period of time. Participation in the tests also does not require official notification.

Pre-production and test environments have been created so that the principles of the system can also be familiarized to invoicing software providers and entrepreneurs preparing their IT systems for KSeF implementation. Both tools allow, among other things:

  • management of access rights to KSeF
  • issuing, receiving and viewing structured invoices
  • checking the status of invoices
  • preview invoices without having to log in

Pre-production version of KSeF

KSeF's pre-production environment works similarly to the production version of the system and relies on credentials that are compatible with the registry of business owner information. Logging into the service also requires actual credentials. The pre-production version of the system allows, among other things:  

  • transmission of the invoice to KSeF via the API interface
  • downloading the Official Certificate of Receipt (UPO) with a list of invoices sent in a package or during an interactive session.

KSeF test version

Access to the trial version of KSeF does not require the necessary credentials to use the production and pre-production environment. Logging in is done using the NIP number and a trusted profile, qualified signature or qualified seal. The functionality of the test version is analogous to that of the pre-production environment.     

Latest version of structured invoice 

From July to August 2023, the KSeF pre-production and test environment will support two versions of structured invoices simultaneously: 

FA(1) - effective January 1, 2022.

FA(2) - made available on June 29, 2023.  

As of September 1, 2023, only the FA(2) version is to become the only standard for KSeF-compliant invoices. At that time, the new e-invoice variant will begin to operate in the system's production environment.
